City of Zug – Migration of the existing SharePoint infrastructure on site and introduction of Microsoft Office 365

As part of a SharePoint migration, the City of Zug was one of the first public administrations to decide to make full use of the possibilities offered by Microsoft Office 365 and move to the Microsoft cloud. The Microsoft data centers in Switzerland gave the green light.

For the applicable regulations, it was necessary to find the appropriate technical tools that comply with the regulations and framework conditions, but do not restrict users in their use as much as possible. A large number of electronic forms and workflows had to be transferred to the new Microsoft Power Platform.

The transformation and distribution of the teams in the departments and divisions proved to be an organizational challenge, as the need for and experience in using collaborative work tools was still very different at the time. Today, the use of OneNote, Planner and teams in daily, interdisciplinary and increasingly mobile work is unthinkable without them.

Dans le cadre d’une migration SharePoint, la ville de Zoug a été l’une des premières administrations publiques à prendre la décision d’utiliser pleinement les possibilités de Microsoft Office 365 et de s’engager sur la voie du cloud Microsoft. Les centres de calcul Microsoft en Suisse ont donné le coup d’envoi.

Pour les dispositions en vigueur, il s’agissait de trouver les outils techniques appropriés qui respectent les prescriptions et les conditions-cadres tout en ne limitant pas, dans la mesure du possible, les utilisateurs dans leur utilisation. Un grand nombre de formulaires électroniques et de workflows ont dû être transférés dans la nouvelle technologie Power Platform de Microsoft.

La transformation et la diffusion des équipes dans les départements et les services se sont avérées être un défi organisationnel, car le besoin et l’expérience en matière d’utilisation d’outils de travail collaboratifs étaient encore très différents à l’époque. Aujourd’hui, l’utilisation de OneNote, Planner et Teams est devenue incontournable dans le travail quotidien, interdisciplinaire et de plus en plus mobile.

Im Rahmen einer SharePoint Migration fasste die Stadt Zug, als eine der ersten öffentlichen Verwaltungen den Entschluss, die Möglichkeiten von Microsoft Office 365 umfassend zu nutzen und den Weg in die Microsoft Cloud gehen zu wollen. Die Microsoft Rechenzentren in der Schweiz gaben den Startschuss.

Für die geltenden Bestimmungen galt es die geeigneten technischen Hilfsmittel zu finden, welche die Vorschriften und Rahmenbedingungen einhalten, die Benutzerinnen und Benutzer aber in der Nutzung möglichst nicht einschränken. Eine Vielzahl von elektronischen Formulare und Workflows mussten in die neue Microsoft Technologie Power Platform überführt werden.

Als organisationale Herausforderung stellte sich die Transformation und Verbreitung von Teams in den Departementen und Abteilungen heraus, da das Bedürfnis und die Erfahrung in der Nutzung von kollaborativen Arbeitsinstrumenten zum damaligen Zeitpunkt noch sehr unterschiedlich war. Heute ist der Einsatz von OneNote, Planner und Teams im täglichen, interdisziplinären und vermehrt auch mobilen Arbeiten nicht mehr wegzudenken.
